Fund Raising Sponsored Events Policy

Childflight appreciates that, people may want to recover the cost of the activity from the sponsor monies raised.

It is unfortunate that on some occasions people undertaking sponsored events in aid of ChildFlight have only collected enough sponsorships to cover their costs, resulting in no funds being raised for ChildFlight.

To avoid this embarrassing situation it is ChildFlight`s policy that anybody undertaking a sponsored event must have an official ChildFlight sponsor form, which includes a box for post code and gift aid declaration tick box. If the sponsored activity requires the cost to be recovered. To guarantee ChildFlight receives at least an amount equal to the cost of the activity, a cheque for the same amount of the activity must be made payable and sent to Childflight 4 weeks prior to the activity and dated 5 weeks after the activity.

We suggest to ensure cost of the activity can be recovered that sponsorships/ pledges to a value of at least 2.5 times the cost of the activity should be acquired.

Example. Persons undertaking a activity costing £50, we suggest should have at least £125 of sponsors/ pledges before undertaking the event. We will assume that at least the amount of the activity will be collected, the £50 cheque provided will be presented for payment 5 weeks after the activity. The second £50 collected can be used, if required, to refund the cost of the event or paid to ChildFlight.

Any additional monies collected must be paid to ChildFlight. Sponsor monies must be collected and sent to ChildFlight within 5 weeks after the event.

We appreciate that people may not want to undertake a sponsored activity for ChildFlight under these conditions. In these cases, thank you for considering Childflight but no thank you. Please do not undertake the activity in ChildFlight`s name.

We are sure sponsors of people undertaking sponsored activities expect the charity to receive funds from the activity and their pledges not to be totally used to cover the cost of the activity.

What ever the activity is, do it safely and have great fun doing it!

ChildFlight fund raising policy

Please make sure that you and those you are fundraising with are safe and acting within the law. Be Safe You must comply with the Health and Safety at Work Act 1974 and all other relevant subordinate legislation.

Always ensure that children are safe and that you do not allow them to solicit or collect money alone without an adult.

ChildFlight cannot accept liability for accidents, so make sure that your event is safe for all concerned.

Take extra care with personal security it you are going to be carrying money around. Always use a safe route and always be accompanied and/or carry a personal alarm.

Please pay any funds you raise from an event to ChildFlight as soon as possible.

Always ensure that no-one is fundraising, working or spectating is in an unsafe environment. Assess the risks involved and make sure that they are eliminated or minimised to an acceptable level, particularly in the case of children. For example, they must on subject to suitable supervision and only allowed to use equipment which has seen tested and maintained to the required safety level. Remember, the Health & Safety Act applies to volunteers as well as employees.

With adventure activities for example abseiling, white water rafting or any other hazardous event, particular care should be taken. When subcontractors or facilities are used, make sure that they have the requisite experience and insurance arrangements. Do not accept unreasonable liability or negligence as a result of their actions or the actions of their employees.

Be legal. If your fundraising events involve collecting money or selling goods in a public place you will need to obtain permission from your local authority. This involves bureaucracy that may be complicated so you may find it easier to organise another type of event.

Please DO NOT carry out collections door-to-door. Again, this is illegal without a licence and many people consider it intrusive. Smaller raffles are fine if there are no cash prizes and if they are incidental to a larger event. However, you must check with us to ensure that the conditions that apply to these raffles are fulfilled.

Remember that where events take place on private property you must ask permission from the owner or manager. Any other lotteries, raffles or prize competitions may be unlawful, therefore you MUST check with us before holding these events or printing any literature or tickets is respect of this.

Businesses wishing to hold a promotion that gives a donation to ChildFlight will need an appropriate written agreement with the ChildFlight. If you are planning to raise £200 or more, you must tell us how you plan to raise it.

You are responsible for organising and managing any fundraising activity and ChildFlight therefore accept no responsibility for any liability howsoever arising from such fundraising.

It is your responsibility to ensure that you take out adequate insurance to cover your liability. If you are running a fund raising event, you must make If clear to anyone involved that fundraisers must not present themselves as partners of ChildFlight to any third party.

This fundraising event is organised by X, who will donate the proceeds of this event (less any costs) to ChildFlight. ChildFlight accepts no responsibility for any liability, howsoever arising from this fundraising event.
